Submitting a Grant Application
How do I attach a document?
To attach a document click on the Browse button to the right of the field you wish to attach the document to. A window will open which will show your folders on your computer. Navigate to the location of the document, click on the document to select it and then click Open. When you submit the grant request, the document will be copied from your computer and attached.
Why did the back and next buttons disappear from my application page?
The allotted time for completing the application has expired. Unfortunately, there is no way to recover the document online. Please restart the application process and save or complete your work within the allotted time (2 hours per page).
My username is not working. What do I do?
Back to TopMake sure to enter the username exactly as it appears in the email. Copying and pasting the information directly from the email notification usually works best. If a replacement is required, contact the Client Services support at Vertex@SteepRockInc.com or +1-718-576-1406, they will reset your login details as needed and will provide them to you.

Why doesn't my password work?
Back to TopThe password is case sensitive; please make sure to enter it exactly as it appears in the email notification, with no extra spaces or characters. Copying and pasting the information directly from the email notification usually works best. Do not include stray characters such as extra blank spaces or quotation marks.
How do I edit or update my grant application after I have submitted it?
There are two circumstances under which a grant may be modified: 1) upon request from Vertex, or 2) at the applicant's request, but only after having received access information from Vertex. To receive access information from Vertex, email MedEdGrants@vrtx.com.

Please make sure to enter the exact same email address as was submitted in the "Applicant Information" section of the request. Also, the password is case-sensitive. Copying and pasting the information directly from the email notification usually works best.

How long will it take to receive a decision regarding my request?
The Vertex grant committee usually reviews each request within 45 days of receiving all required documentation. You will be notified by email of the committee's decision.
How will I be contacted regarding the review and processing of my grant?

How will I receive the Grant Agreement (GA)?
The agreement will be sent to you via email. You are required to print, sign and send us an original copy, along with a current W-9, to Medical Education Department, 130 Waverly Street, Cambridge, MA 02139. Please also send us these documents via email (Mededgrants@vrtx.com) or fax(+1 -617-444-7500).
Who should sign the Grant Agreement (GA)?
Agreements should only be signed by persons authorized by the company/institution/organization to enter into contractual agreements on their behalf. The GA must be signed by all parties.
Will Vertex sign an institution's agreement or other documentation?
We have our own agreement which meets ACCME standards. However, we will consider another party's agreement if it is appropriate.
I sent the Grant Agreement (GA) executed by my institution/company/organization back to Vertex. How do I know if Vertex received it?
Back to TopOnce Vertex receives the GA signed by your institution, the applicant will receive a confirmation email. If you do not receive a confirmation email within a reasonable amount of time, please email MedEdGrants@vrtx.com.
How soon will I receive funding?
Back to TopIt can take up to 30 days after the Grant Agreement (GA) is fully executed. You will be provided by Vertex with a PO number. Invoices will reference the applicable PO number provided by Vertex and are sent by mail or eletronically to:

Yes. Reconciliation is required for all grants.

I am receiving email reminders to submit a grant reconciliation, but the program has not yet ended. What do I do?
Reconciliations are triggered by the Program End Date listed in the grant application. If you are receiving Reconciliation Reminders, then your submitted End Date has passed. If your Program End Date has changed, you must notify Vertex so we can update our records. To do so, email MedEdGrants@vrtx.com.
How do I complete the reconciliation process?
Back to TopOnce a Program End date has passed you will receive an email alert asking you to log into the system and reconcile the budget in the grant closeout section. To do this, please follow the steps below:
- After logging into the system, click on the title of the grant you are reconciling. Select the "Reconciliation Form" button, in the upper right corner. The reconciliation spreadsheet will open with the original budget information.
- Complete all the applicable 'actual' data. Save a copy of the reconciliation spreadsheet to your desktop/hard drive.
- On the request form, you must then click on the "Edit" button and within the Grant Closeout section upload:
- reconciled budget spreadsheet,
- required evaluation and/or outcomes assessment documents,
- copy of all receipts,
- any additional document related to the closeout process.
- Once all the applicable fields have been completed, uploaded and entered, you must read and checkmark the associated disclaimer and click "Save". An alert will then be sent to the Grant administrator that the reconciled budget has been uploaded.

You must acknowledge Vertex's support of your program. In materials associated with your program you may use the statement: "Supported through a medical education grant from Vertex Pharmaceuticals Incorporated". If you would like to use our logo, please e-mail MedEdGrants@vrtx.com
